DotComm is committed to protecting the privacy and confidentiality of all customer data processed through our communication platform. This policy describes our practices regarding data ownership, use, access, security, retention, and third-party processing. It applies to all users, administrators, and organizations that use our services.

Data Ownership

All data uploaded, entered, or processed through our platform remains the property of the customer at all times. We do not claim ownership of any customer data, including messages, contact records, media files, configuration settings, or analytics generated from your use of the platform.

You retain full control over what data is stored, how it is used within your organization, and when it should be removed, subject to the technical capabilities of the platform and any applicable legal obligations.

Use of Data

We do not sell, share, rent, monetize, analyze, or use customer data for advertising, marketing, profiling, or any purpose other than providing the services requested by the customer.

Customer data is processed solely to deliver, maintain, and support the functionality of the platform. This includes enabling messaging, ticketing, reporting, integrations, and other features you configure as part of your subscription.

We do not use your data to:

  • Build advertising profiles or audience segments
  • Train public or shared machine-learning models on your content
  • Contact your end customers for our own commercial purposes

Data Access

Access to customer data is restricted to authorized personnel only when required for technical support, maintenance, troubleshooting, security investigations, or when specifically authorized by the customer.

All internal access is governed by role-based permissions and is limited to the minimum data necessary to resolve the request. Access events may be logged for audit and security purposes.

Data Security

We implement reasonable technical and organizational measures designed to protect customer data against unauthorized access, disclosure, alteration, or destruction.

These measures include, where appropriate:

  • Encryption of data in transit using industry-standard protocols
  • Access controls and authentication for platform users and administrators
  • Network and infrastructure safeguards provided by our hosting environment
  • Regular review of security practices as the platform evolves

While no system can guarantee absolute security, we continuously work to maintain a secure environment for your data.

Data Retention & Deletion

Upon termination of a customer's account or service agreement, customer data will be permanently deleted from our active systems within a reasonable period, except where retention is required by law or for legitimate security, backup, or compliance purposes.

Where backup systems are used, data contained within backups will be automatically removed in accordance with our backup retention schedule.

Customers may request earlier deletion of specific data where the platform supports it, subject to technical constraints and any legal retention requirements that may apply.

Third-Party Services

Where third-party service providers are used to facilitate the operation of the platform (such as cloud hosting, messaging providers, or email delivery services), such providers may process customer data solely for the purpose of delivering the service and in accordance with applicable privacy and security obligations.

We select providers that maintain appropriate data protection standards and require them to process data only on our instructions and for the purposes described in this policy.

Your Rights

Depending on your jurisdiction, you may have rights regarding your personal data, including the right to access, correct, export, or request deletion of information we hold about you.

Organization administrators can manage most data directly within the platform. For additional privacy-related requests, please contact your account administrator or the support channel associated with your service agreement.

Policy Updates

We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements, or operational practices. When material changes are made, we will take reasonable steps to notify affected customers where appropriate.

Continued use of the platform following any updates constitutes acceptance of the revised Privacy Policy. The "Last updated" date at the top of this page indicates when the policy was most recently revised.
